Database Administrator and Physics Store Manager
AAPT has an immediate vacancy for a Membership Database Administrator/Physics Store Manager. This position will oversee and ensure the accuracy and integrity of the organization's iMIS database. The Membership Database Administrator will generate Board, Committee, and other database reports, coordinate end user database training for staff, etc. and act as Continuing Education Unit Manager. As part of the membership team, this person will also assist as needed with membership projects. As Physics Store Manager this person will also manage the web presence, inventory, orders, and shipping of store orders. Duties
Provide technical, administrative, and end-user support for AAPT's Association Management System (AMS)/Customer Relationship Management Systems (CRM). Responsible for AMS/CRM processes, data integrity/maintenance, report writing/data extraction, end-user support and training, documentation, troubleshooting. Play key role in AMS/CRM/website upgrade projects. Set up and manage Continuing Education Units for programs approved by the Executive Officer.Manage the AAPT Physics Store, including inventory control, orders database management, order fulfillment, and shipping. Also includes generation of invoices for purchase orders, accounts receivable collection, and resolution of delivery problems. Travel to meetings that offer Physics Store products is required.
Job Requirements
Bachelor's Degree in information technology, database management, or a related discipline and a minimum of three years of database administration experience required. Five years of experience as a database administrator or iMIS Database Certification may be substituted for the degree requirement.Candidate experience must demonstrate the ability to oversee the membership functions of an integrated database in a membership association.
A successful candidate must be knowledgeable about membership, board and committee structures commonly found in associations. Substantive experience with IMIS or similar membership database administration software is required. Must have experience using database report-writing, query, import/exporting or similar functions and tools and be able to clearly explain database features. Experience using Crystal Reports or iMIS IQA reporting is a plus.
Intermediate/advanced level of proficiency using MS Office or equivalent is required. Intermediate/Advanced level of proficiency with the database Orders modules and an understanding of the basics of retail marketing and inventory control.
Strong verbal and written communication skills are essential. Candidate must be able to provide logical explanations and examples of database functions when communicating with members, managers, staff, software vendors, etc. Experience training users on membership database functions is desirable.Strong administrative and organizational skills, attention to detail and accuracy, flexible, able to multi-task and complete work on schedule are required. The ability to prioritize and manage multiple projects to completion is essential. Candidate must possess excellent judgment, initiative and strong problem-solving skills. Strong analytical skills, flexibility, and a positive, cooperative attitude are critical to the success of the individual in this position.The ideal candidate will possess the above qualifications along with a passion for excellence in database administration.
