Important Update: Transition of Our Annual Meetings 

 

AAPT decided to make important updates to the strategy of AAPT’s annual meetings that will support AAPT's efforts in providing rewarding programming for our members. These decisions for transformation follow a year of review, in-depth surveys, and a collaborative workshop with leaders across our association to ensure our events reflect your strongest needs and ambitions. The Board approved these changes after careful consideration and strategic planning.  

 

After January 2027, the Winter Meeting will be retired. AAPT will focus its resources on evolving the Summer Meeting into the centerpiece of our yearly events. Our commitment is to create a new era of programming built around greater interactivity, practical learning, and vibrant community collaborations.

Annual Meetings Strategy FAQs 

 

  1. Why are we sunsetting the Winter Meeting after 2027? 
    The decision was driven by extensive member feedback, evolving professional needs, and strategic analysis of what drives engagement and satisfaction. Transitioning our focus and investment to the Summer Meeting will enable us to deliver more relevant, impactful content and support long-term financial sustainability and member growth. 

     

  2. How will AAPT help members stay connected after the Winter Meeting is retired? 

    As the Winter Meeting concludes after January 2027, AAPT will continue to invest in connection and community. Alongside a transformed in-person Summer Meeting, we will explore additional year-round opportunities to support ongoing engagement, collaboration, and professional learning. 

     

  3. What will happen at the last two Winter Meetings in January 2026 and 2027? 
    Both meetings will be held as scheduled, honoring our Winter tradition and celebrating its impact. Special programming will recognize the legacy of the event and provide opportunities for members to share feedback and participate in shaping future offerings. 

 

  1. How will the Summer Meeting change starting in 2026? 
    The Summer Meeting will introduce new formats, interactive sessions, expanded sponsorships, and programming aligned to current industry priorities. Each Summer event will serve as a launchpad for enhanced engagement and collaboration, building on input gathered from members throughout the transition. 

 

  1. Will there be opportunities for members to provide feedback and ask questions about the transition? 
    Yes. We will distribute regular updates and offer confidential feedback channels. Leadership and staff will be available for direct questions and dialogue.  In addition, members can share confidential questions and comments at any time through our survey at https://www.surveymonkey.com/r/SGRTX63; the most common questions and themes from this survey will be used to keep the meetings transition webpage at https://www.aapt.org/Conferences/MeetingStrategy.cfm updated with relevant, clear information. 

     

  2. What does this change mean for committees and volunteer leaders? 
    Committees and volunteer leaders will continue to play a vital role in shaping meeting content and experiences. Opportunities to get involved in new programming, planning, and leadership roles will be announced well in advance. 

 

  1. What will happen to the governance meetings and meetings of the membership that have traditionally taken place at the Winter Meeting? 
    We recognize that governance sessions, committee meetings, and formal member business have been a significant part of the Winter Meeting tradition. As part of this transition, a dedicated working group will be established to review all governance, committee, and membership meeting needs. This group will develop a plan to ensure AAPT’s essential governance activities are preserved and conducted effectively in future meeting formats. You will receive updates as options are developed. 

 

  1. How will the transformation support AAPT’s financial sustainability and growth? 
    By consolidating resources and focusing on one flagship meeting, AAPT can invest in new educational formats, technology, and sponsorship opportunities that promote long-term financial health and deliver greater value to members.

  3. How will this affect registration, pricing, or refunds for future meetings? 

Registration processes and pricing structures for the Summer Meeting will be reviewed and clearly communicated ahead of each event. Any changes will be announced well in advance.  

 

  1. What networking opportunities will be available with the new Summer Meeting? 

Expanded networking is central to our Summer Meeting transformation. Expect enhanced in-person platforms for peer-to-peer engagement, mentor pairings, special interest group meetups, and industry roundtables. 

 

  1. How will sponsorship and exhibitor opportunities change? 

With the new format, sponsorship packages will be updated to reflect greater value and exposure through digital platforms, interactive workshops, and high-visibility branding opportunities. Details will be shared with current and prospective sponsors early in 2026. 

 

 

  1. What will happen to awards and recognition traditionally presented at the Winter Meeting? 

    All awards and member honors currently associated with the Winter Meeting will be integrated into the Summer Meeting program, with increased visibility and celebration opportunities. 

 

  1. Can I volunteer to help with the transition or planning of the new meeting? 

    Absolutely. AAPT welcomes volunteers to participate in transition task forces, planning committees, and program development teams. Details about volunteer opportunities will be communicated soon.
